Payment Terms & Conditions

1. Overview

At Hire Culture, we believe in transparent, fair, and values-aligned financial agreements.

These terms outline how our services are billed, what clients can expect, and how we

honor our commitment to simplicity and stewardship

2. Billing Structure

We operate primarily on a Monthly Service Plan model:

Services are billed monthly based on your contract start date or the 1st of the month.

Each plan is structured per the client’s unique contract.

A one-time, non-refundable Activation Charge is assessed at the beginning of

service to cover onboarding, matching, and Remote Team Member (RTM) setup.

3. Payment Timing & Methods

Payment is due on or before the first day of each billing cycle unless otherwise

agreed in writing.

We accept payments via Stripe, which supports ACH, credit/debit cards, Apple

Pay, Link, and other common methods. All billing is securely managed via Stripe

directly or our CRM platform, TouchPoint Pro.

We reserve the right to change our billing provider or process, with notice.

4. Late Payments

While we aim for flexibility and partnership, timely payment is essential.

We reserve the right to assess a late fee of up to 5% of the monthly contract fee in

cases of repeated or unresolved late payments.

Access to RTM services may be paused for non-payment at our discretion.

In the event of unresolved non-payment, Hire Culture reserves the right to engage

third-party collection services or legal counsel to recover outstanding balances.

5. Refunds, Pauses & Cancellations

Refunds are only issued if specified in the initial service agreement.

Service pauses may be granted on a case-by-case basis and must be requested in

writing.

Cancellations follow the terms outlined in the client’s contract. Auto-renewals

apply unless terminated per those terms.

6. Plan Adjustments

Upgrades to your services can be discussed by contacting

[email protected].

Downgrades are generally not permitted mid-contract, in order to maintain team

continuity and service quality.

7. Compensation Structure & Confidentiality

Our service fee includes a management rate that reflects the ongoing training,

support, and oversight we provide to both our RTMs and clients. This rate is

proprietary and designed to remain within fair industry standards.

Clients agree to honor the full contracted Monthly Service Plan, independent of

the RTM’s individual compensation.

To maintain clear boundaries and team cohesion, any requests for bonuses,

raises, or role changes should be directed through our leadership, not arranged

directly with the RTM.

8. Modifications

Hire Culture reserves the right to modify these terms at any time with

notice. Continued use of our services after any such changes constitutes

agreement to the updated terms.

9. Governing Law

These terms are governed by and interpreted in accordance with the laws

of the State of Texas.

10. Stewardship Through Simplicity

We view financial clarity as a form of respect, both for your business and ours. These

terms are designed to create mutual confidence, reduce confusion, and free you to focus

on what matters most.

Discover

We guide the client through a structured discovery process to uncover real needs, identify opportunities, and design the right support system. From strategy to matching, we ensure every piece is aligned before launch.

Prep

We take everything defined during Consult and begin building the actual working relationship: finalizing the role, sourcing the right RTM, and preparing both sides for a smooth and successful start.

Launch

The RTM officially starts working within the client. Over the first 30 days, we focus on activation: aligning communication, defining deliverables, and creating early momentum. It's a high-touch phase designed to set the trajectory for success.

Scale

We provide continuous support to increase impact and performance. Through training, feedback loops, coaching, and client check-ins, we fuel ongoing success and deepen the client relationship.

Expand

After a year, systems are running smoothly and roles are clear. In this phase, we shift to steady-state support, maintaining momentum, surfacing growth opportunities, and protecting the rhythms you’ve built. Scale represents operational ease.
